New UniTask Travel Approval form

From Monday 17 October 2022 there will be changes to the UQ travel  approval process. All staff will be able to submit a request for their planned domestic and international travel via the new UniTask Travel Request form.

Domestic travel (within Australia)

Once a UniTask Travel Request has been submitted, the request will be automatically approved by the system and a notification will be sent to the travellersr supervisor. You can then proceed to book your domestic travel preferably online via Savi.

International travel

Once a UniTask Travel Request has been submitted, the traveller's supervisor will receive a notification and the travel approver will receive an action request that there is an approval task waiting. If they approve, you will receive an approval confirmation from the system and you can start booking travel. The new process will allow for international point-to-point travel bookings (economy class only) to be made online via Savi.

Key dates

There will be a two-week changeover period where staff can submit either a UniTask Travel Request or use the paper-based approval forms, however approval paper forms for staff will no longer be accepted after 31 October 2022.

From 17 October 2022 online travel bookings will require a UniTask Travel Request Trip ID to be entered in UQ’s online travel booking tool (Savi) to link the approval to the travel booking transactions. Travel approved via paper-based forms will not be able to be booked online via Savi.

From 1 November 2022 UniTask Travel Request will officially replace the paper-based forms for domestic and international travel approval. The UQ traveller/travel booker will have to provide an approved UniTask Trip ID to UQ’s travel management provider (FCM) at the time of booking to link the approval to the travel booking transactions.

Students

These changes do not apply to student or HDR travel (refer to the Student Travel Procedure).
